Position Purpose:

The Office Coordinator has dual responsibility for providing a broad range of operations administrative support related to Facilities Coordination & General Administration. We are seeking a highly organized and motivated individual to join our team as a Part-Time Office Coordinator. In this role, you will play a crucial part in maintaining a productive and welcoming office environment while overseeing facilities-related tasks. If you have strong administrative skills, attention to detail, and the ability to manage office operations efficiently, we want to hear from you.


Essential Functions:

 

  • Provide general administrative support, including answering phones, managing calendars, managing inbound and outbound mail, and handling office correspondence.
  • Monitor and replenish office supplies to ensure seamless daily operations.
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Ordering of name tags and business cards
  • Greet and assist visitors, clients, and vendors, ensuring a positive and professional experience.
  • Assist in the planning and coordination of office events and meetings.
  • Ensures that buildings, grounds, equipment, security system, and supplies are maintained and serviced.
  • Manages leases and property management functions
  • Supports other related, varying needs of assigned departments and staff.

 

Schedule: Part-time (approximately 20 hours per week, preference is M-F 9 am - 1 pm)

What you need to be successful: 

  • High school or associate’s degree required.
  • A minimum of three (3) years of office coordination or facilities management
  • Ability to work independently
  • Well-developed organizational skills with the ability to work on multiple tasks/projects; must be able to manage time and workload effectively to meet deadlines.
  • Provide project management and maintain momentum on high-priority projects
  • Exhibit a strong attention to detail in coordinating calendars and communicating accurate event details to internal and external individuals
  • Demonstrated ability to achieve results; a proven problem-solver with the ability to be resourceful and respond quickly and accurately
  • Requires strong interpersonal, verbal, and written communication skills
  • Exceptional customer service focus, including attention to producing quality results while building positive relationships
  • Ability to lift up to 50 pounds at times
  • Knowledge of facilities services is preferred
